  Voice Mail Programming Instructions

Voice Mail is an electronic voice messaging system that gives you a fast and dependable way to communicate with people on the ORU campus. It is as convenient and easy to use as a telephone answering machine, but also allows you to: listen to, record, edit, send, and play back messages from any touch tone telephone.

Voice mail offers the user "HELP prompts" which tell you which commands to use. To interrupt a prompt, press a key. The system stops the prompt and responds to your request.

All campus telephone have Voice Mail. When calling a campus telephone, if there is no answer after three rings, you are given the option to call later or leave a message. Unless there is a loud background noise the recording starts when you begin to speak.

Each campus telephone has a "Voice Mialbox" which contains any messages sent to that extension. The last four digits of the telephone number is known as the "Mailbox number". Voice Mail provides a message waiting indicator (interrupted dial tone when you pick up the receiver) to notify you when you have a message in your mailbox. On the Voice Mail system, the # key is used like a period (.) and is required to complete many of the required tasks.

To Leave or Send a Message.

Voice Mail offers you two ways to leave a message on the voice mailbox of another extension.

  1. Direct Dialing: You may phone the individual direct and leave a message after the tone.
  2. Express Messaging: You may send a message directly to the person's voice mailbox without ringing their extension. To send a message, dial ext. 6300 (on campus) or 495-6300 (off campus). After entering the mailbox number, press #, leave your message and hang up.

  Accessing Your Mailbox

The phrase "log on" is the term used for accessing your voice mailbox. Your voice mailbox number is the last 4 digits of your phone number. To access your mailbox dial ext. 6100 (on campus) of 495-6100 (off campus). Enter your mailbox number, followed by #.

  Programming Your Voice Mailbox Password

Each Mailbox has a password (any 4 to 6 digit combination) which prevents an unauthorized person from entering the Mailbox and tampering with messages. The temporary password on all extensions is 77 + the last 4 digits of the phone number. You need to program your password as soon as your line is connected to prevent tampering. You may change the password as many times as you like. However, do not repeat your most recent combinations. Voice Mail keeps a record of the last 5 combinations and will not accept them once they have been changed.

To change the password: press 84 and listen for instructions. Enter your new 4 to 6 digit password, followed by #. The new password must consist of 4 to 6 different numbers, and the numbers cannot be in sequential order. To confirm the change, re-enter the old-password. If you decide suddenly not to change your password after pressing 84, press # before entering the new password.

If you attempt to log on three times or more and are unsuccessful, you will be locked out of your Voice Mailbox. You will be instructed to contact your administrator and will need to call x7770 for assistance resetting your password.

  Programming Your Personal Verification

Your Personal Verification is a recording which you make of your name and extension number (optional). It is played by the system when you send a message from your phone identifying you as the sender. If you do not program a personal verification, Voice Mail will automatically give your extension number when you send a message.

To program the personal verification: press 829 and listen for instructions. Press 5 to record. After the tone, speak your name and telephone number (optional). To stop recording, press #.

  Programming Your Personal Greeting

Callers to your mailbox may hear one of two greetings - an External Greeting for callers outside the system, or an Internal Greeting for callers within the system. If you do not program a greeting, Voice Mail will give a system greeting identifying the mailbox number. If your internal greeting is deleted, the external greeting will be played to all callers.

A suggested greeting is: "Hello, This is (your name). I am unable to come to the telephone right now, but if you leave your name, number, and message after the tone, I'll return your call as soon as possible."

To program the External and Internal Greetings: Log on, press 82 and listen for instructions. For your External Greeting, press 1. For your Internal Greeting, press 2. Now press 2 to review present greeting; press 5 to record a new greeting (press # when finshed) or press 4 to exit.

To delete a greeting: Log on and press 82. Select appropriate greeting (1 for external or 2 for internal). Press 76 to delete.

To program a Temporary Greeting: Log on, press 82, press 3, and listen for instructions.
